Inviting Customers

You're typically the person who onboards a contractor's employees into the portal.

Inviting a new customer

  1. Open the contractor's Company page.
  2. Find the Members section.
  3. Click Add member (or Invite).
  4. Enter the person's email and pick their role:
    • Customer — for the contractor's own employees who should see only their own data
    • Supervisor — for fellow CIC team members. Only assign this if you're sure
  5. Click Send invitation.

The portal emails the invitation. The recipient sets their password, confirms their email, and is in. See Signing In for the recipient's flow.

Editing a member's role

Click Edit on the row in Members. Change the role and save.

Role changes have wide implications — a customer becoming a supervisor sees a much larger swath of the system. Confirm with an admin before promoting someone.

Removing a member

Click Remove on the row. They lose access immediately. The record is preserved.

Resending an invitation

If a recipient never received their invite (check spam first), find them in the Members list and use the Resend invitation option. You can also trigger a fresh password reset email for them from their profile.

Bulk inviting

The portal currently invites people one at a time. For large rollouts, plan accordingly or work with an admin who may have additional tools.

Common onboarding scenarios

A new owner of an existing company

The owner is leaving the business and a new one is taking over. Invite the new owner with the Customer role, then remove the old one. The audit log preserves who was the owner at any point in time.

A new employee at an existing customer

Invite them as Customer. They'll see only that company's data.

Adding a contractor's bookkeeper or accountant

Invite as Customer. They typically only need to see Invoices (opens in a new tab) — make sure they understand the scope.

Adding a CIC team member

This is rare for supervisors — usually an admin promotes a CIC employee to Supervisor role. Coordinate with an admin.

Best practices

  • Verify the email address before sending. A typo means the invite goes to a stranger.
  • Default to Customer. Higher roles should be intentional, not accidental.
  • Remove leavers same-day. When an employee leaves the contractor business, remove them from the Members list immediately. Audit-log impact: you'll see when they lost access.
